Prepared for Midstream College

One school app, built to grow module by module.

A branded app that starts by replacing the scattered forms and spreadsheets you run today with purpose-built modules — and adds new capabilities only when you're ready for them.

The opportunity

The tools work. They just don't work together.

Midstream already collects information through Jotform and Google Forms, and runs tryouts and auditions across 15 sports and its culture programme. Today that lives in separate links, inboxes and spreadsheets. MyMidstreamCollege brings it into one branded app that puts staff, parents and learners each in control of their own part — purpose-built modules gradually replace those scattered forms, and split rights keep every role seeing and doing only what's theirs.

Today

A link for everything

  • Forms shared as separate links across email, WhatsApp and the website.
  • Tryout sign-ups, dates and results tracked by hand in spreadsheets.
  • Parents asking "where do I find that form again?"
  • No single record of who signed up for what.
The approach

Buy what you need now. Add the rest when it earns its place.

MyMidstreamCollege is built as a platform with a shared foundation — accounts, school branding, notifications and security — and modules that plug into it. You commission Phase 1 today. Everything after that is an optional, separately-scoped add-on, so the budget and the build move at the pace the school sets.

01 · FOUNDATION

Build once

Branded shell, secure logins with teacher, parent and learner roles, a bilingual (Afrikaans & English) interface, notifications and the admin console. Every future module reuses it, so it's never paid for twice.

02 · PHASE 1

Launch with three modules

Forms, Tryouts & Auditions and the Bus module go live first — the areas with the clearest day-one payoff for staff, parents and learners.

03 · EXPAND

Add on your timeline

Comms, payments, events, attendance and more — each one purpose-built for how Midstream works, added when the school decides it's worth it.

Initial scope · Phase 1

Three modules, chosen to pay off on day one.

The areas families, learners and staff touch most often. Each is fully usable on its own — and each is built to the same standard so the rest of the platform slots in cleanly later.

MODULE M01 · STAFF & TEACHERS

Forms

Build the school's forms inside the app — and retire Jotform and Google Forms.

A teacher- and staff-facing module for the school's own dynamic, custom forms — built in, not bolted on. Staff create, share and manage forms and submissions in one place instead of juggling external links and inboxes.

  • Build dynamic, customised forms for any need — no third-party form tool required.
  • Printing applications, food orders and staff receipt recovery & uploads, ready to go.
  • Forms grouped by category (admissions, consent, trips, medical, events).
  • Staff view of submissions, with search, filter and export.
  • File and image uploads handled in-app, so receipts and documents stay together.
  • See at a glance what's outstanding across grades and groups — staff only.
Replaces Jotform & Google Forms

Because the forms live in the app, Midstream can retire its standalone Jotforms and Google Forms entirely. And as a need outgrows a generic form, a purpose-built module — bus bookings, camp sign-ups, facility bookings — takes its place, each tailored to the task.

MODULE M02

Tryouts & Auditions

Configure and run any selection process — sport, culture and college life.

A flexible engine where staff set up a tryout or audition once and the app handles sign-ups, scheduling, scoring and outcomes. Built to fit every activity Midstream runs, not just one sport.

  • Sports trials for hockey, rugby, netball, cricket, athletics, swimming, tennis, equestrian, golf, squash and more.
  • Culture auditions for Drama, the Orchestra, Melodia, Revue and the Orators & Redenaars teams.
  • College-life sign-ups too — Adventure Club, Grade Camps and the Grade 10 Odyssey.
  • Configure age groups, dates, venues, slots and capacity per event.
  • Custom requirements per activity (playing position, instrument, audition piece, age/weight group).
  • Selectors score and leave notes; results published when ready, with notices to selected, waitlisted and unsuccessful.

MODULE M03 · ALL ROLES

Bus Bookings & Register

Staff set up bus transport for any event; the app allocates buses, builds the registers, and learners tap on and off — replacing the booking form entirely.

Staff set up transport for an event — a tour, fixture, outing or camp — and tell the app which buses are running. The app allocates learners across those buses by capacity and builds a register for each one. On the day, a teacher opens the trip QR and learners scan to check on and off; every tap is stamped with a time and stop, parents are notified instantly, and staff get a live, accurate register — no clipboard, no paperwork.

  • Staff set up bus transport per event — tours, fixtures, outings and camps, not just one route.
  • Add the buses for the trip with each one's seat capacity.
  • The app splits learners across the available buses efficiently and builds a register per bus.
  • Teacher opens a trip QR; learners scan to check in and out on their assigned bus.
  • Every tap stamped with a time and stop, in real time, on a live register staff watch.
  • Parents notified the moment their child boards or leaves.
  • One module that serves staff, learners and parents at once.
Try it live

Scroll to the demo below, tap “Scan & check in” on the learner's phone, and watch the teacher's register update the instant it happens.

Where it can go

A catalogue of modules, each purpose-built when it's worth it.

These are the directions the platform is designed to grow in. Nothing here is committed today — it's the menu the school can choose from as needs and budget evolve. Each one is purpose-built for how Midstream works on the same secure foundation laid in Phase 1 — and because each is curated for a single job, several can replace the standalone Jotforms and Google Forms used today (bus bookings, camp sign-ups and the like) entirely.

Who sees what

One app, three views — teacher, parent and learner.

Every module declares which roles may use it, so the same app shows a teacher their admin tools and a parent only their own family's information. Accounts are linked, so a parent sees their children and a learner sees only themselves.

Teachers & staff

Admin access
  • Configure and run tryouts, auditions and sign-ups.
  • Build and manage the school's forms and submissions — applications, orders and uploads — staff only.
  • Set up bus transport per event, add the buses and capacities, and let the app build the registers.
  • Open the trip QR and watch a live register of who has tapped on/off each bus.

Parents

Linked to their children
  • Sign up and consent through purpose-built modules — camps, events and more.
  • See tryout and audition outcomes as they're published.
  • Get notified the moment a child taps on or off the bus.
  • RSVP to events and stay on top of what's due.

Learners

Their own data only
  • See their own tryouts, results and notices.
  • Sign up for sports, culture and college-life activities.
  • Scan the teacher's QR code to check on/off the bus.
  • Never see other learners' or families' information.

Spotlight · the Bus module

Staff set up transport for an event and add the buses that are running; the app splits learners across them by capacity and builds a register for each — no separate Google Form. On the day, a teacher opens the trip QR and learners scan it with MyMidstreamCollege as they board and leave; each tap is logged with a time and stop, parents get an instant notification, and staff get a live register without a clipboard. One purpose-built module that spans all three roles — see it working in the demo just below.

Live module · see it work

Bus check-in, in real time.

The learner scans the trip QR to tap on and off; the teacher's register updates the instant they do. Try it — tap “Scan & check in” on the learner's phone and watch the teacher's list change.

Why build it with Beyond Engineering

A partner who builds to the school's pace — not a product you have to bend to fit.

Off-the-shelf school apps make you pay for everything up front and adapt your processes to theirs. Beyond Engineering builds the opposite way: start small, prove the value, and grow the app around how Midstream actually works.

Lower risk

A small, fixed Phase 1 means you see a working app and real value before committing to anything bigger.

You own it

The school owns its data, its branding and its roadmap. No lock-in to a vendor's feature list or pricing.

One point of contact

You speak directly to the people building it. Decisions, fixes and new ideas don't go through a support queue.

Built around your school

Every module is tailored to how Midstream actually works — replacing generic forms and spreadsheets with tools built for the task.

Built to extend

The architecture is designed for module after module, so the second build is faster and cheaper than the first.

Local & responsive

Direct, ongoing support and a care plan that keeps the app secure, updated and running.

How we'd work together

A clear path from conversation to launch.

01

Scoping

A working session to map your forms, your tryout processes and what "done" looks like for Phase 1.

~1 week
02

Design sign-off

Branded screens and flows for the two modules, agreed before a line of production code.

~2 weeks
03

Build

Foundation, Forms and Tryouts built and demoed in regular check-ins, not a black box.

~6–8 weeks
04

Pilot

A live trial with a small group of staff and families, then refinements from real feedback.

~2 weeks
05

Launch & care

Full rollout, staff training, and an ongoing care plan. The roadmap conversation starts here.

Ongoing
Investment

Scoped around your needs, not a number plucked from the air.

Every school runs differently, so a price quoted before we understand your forms and processes would only pad in guesswork. Here's how the investment is structured — and an invitation to size it together.

Let's turn this into a real number, together.

The honest next step is a short, no-obligation meeting to scope exactly what Phase 1 should do for Midstream. From there, Beyond Engineering puts a clear, fixed quote and timeline in writing — no pressure, no surprises.

Let's scope Phase 1 together.

The best way to size this accurately is a short working session on your forms and tryout processes. We'll follow up with a fixed Phase 1 quote and timeline — no obligation.
